IELTS Letter Request to HR manager to book accommodation outside country

You are being sent for a month on a work assignment in San Francisco, California. You need a place to stay while you are there. 

Write a letter to your Human Resource Manager to arrange for the accommodation there.

In your letter:

  • explain the situation
  • describe the kind of accommodation you would like
  • provide the dates you will need it

You should write at least 150 words. You need not write any addresses.

Begin your letter as follows:

Dear Mrs Samson,

As I am asked to move to San Francisco, California for a month, I am writing this letter to request you to find suitable accommodation there.

Body Paragraph 1 on the situation

I am sure you know that the manager in California has recently resigned from the position, and his team is operating without any leader. Now, I have been nominated by the Director to take care of business affair there.

Body Paragraph 2 on the kind of accommodation

I am planning to travel light and without my family; so, I request you to find accommodation as close to the office as possible even if it means a house without a kitchen. Not to mention, restaurants in nearby area shall be handy after office hours for evening suppers. In addition, I would appreciate a nearby park or gym so that I can continue my jogging there as well.

Body Paragraph 3 on the dates of travel

After wrapping my current assignment, I am flying in next week on 20 July so that I would need a house from 21 July. I would suggest you negotiate with the landlord for more than a month as though I am coming back on 20 August; the new manager may require temporary accommodation there.

Review of IELTS Letter 1 Request HR to arrange for accommodation outside the country

  • The author of the letter addresses all the instruction given in Writing Task 1. Also, each instruction is addressed in separate paragraphs. 
  • There are sufficient Linking words. However, similar linking devices and sentence structures are repeated unnecessarily. 

For example, the following sentences have the linking word “so” unnecessarily. 

I am planning to travel light and without my family; so, I request you to find accommodation as close to the office as possible even if it means a house without a kitchen.

After wrapping my current assignment, I am flying in next week on 20 July so that I would need a house from 21 July.

Usually, “so” is used to draw a logical conclusion. But, many other sentence structures could fit in here aptly.

  • The Following sentence is inadequate to convey a complete message.

“I would suggest you negotiate with the landlord for more than a month…”

One should mention what should be negotiated. In this case, negotiating the rent agreement or lease could have made the sentence more logical.

Dear Smith,

Hope you are doing good. I am writing this letter to you as I am travelling to San Francisco, California, to the client’s office for one of our ongoing projects & need your assistance in finding a place to stay.

Body Paragraph 1 on the situation

I need to visit the client’s office for one of our product deployments. The client is facing some issues with the product we have developed for them & as I am expertise in fixing such problems. I can help the client solve that problem to ensure we meet the deadline set for the task.

Body Paragraph 2 on the kind of accommodation

I am looking for accommodation near the client office so that I can save my travelling time by walking to their office. Also expecting a kitchen facility included in accommodation to cook for my self as I am a pure vegetarian person.

Body Paragraph 3 on the dates of travel

I already have applied for a visa & expecting it to be received by 25th Dec. My travelling dates will be after the approval of my visa.  The flight I have book will leave on 31st Dec from India & the return flight is on 31st Jan.

Review of IELTS Letter 2 Request HR to arrange for accommodation outside the country

  • In this second sample as well, all instructions are addressed well. Also, the transition between the paragraphs is relatively smooth.
  • The writer unnecessarily uses the ampersand (&) in the letter. It is no longer used in modern English. 
  • Since this could be a formal or semi-formal letter while writing the dates, the student must ensure that the months are spelt completely. For example, Dec. could be written as December. 
  • Apart from these mistakes, the rest of the letter is acceptable.

Introduction

Dear Kate,

I’m writing to let you know that I’ll be needing to visit the client’s office in California.

Body Paragraph 1 on the situation

I am visiting there for the product deployment in the coming month. As you may already be aware, I have been working on this project for three years now, thereby contemplating my expertise in the domain; the client anticipates me to get this done since we have strict deadlines.

Body Paragraph 2 on the kind of accommodation

I would be seeking your help to get my accommodation things sorted. Just a couple of things to note; first, I would prefer a location near the client’s office to walk by and save some time and, second, it would be much better if my stay has a kitchen since I’m a vegetarian can cook myself.

Body Paragraph 3 on the dates of travel

In addition to that, I would like you to be aware that I’ll be getting my visa on the 25th of Feb this month, and I’m having my flight on the 28th of  February and will be returning on the 30th of March. In a nutshell, I would need a stay from 1st of March till 30th March.

Review of IELTS Letter 3 Request HR to arrange for accommodation outside the country

  • Similar to two letters prior, this letter accomplishes the IELTS Letter Writing task well. 
  • However, the student misuses a few words. 

For example, 

“As you may already be aware, I have been working on this project for three years now, thereby contemplating my expertise in the domain; the client anticipates me to get this done since we have strict deadlines.”

In the above sentence, the word ‘contemplate’ is incorrectly used. Contemplate means think about something deeply and for a long time. Now, just thinking is not going to solve the problems in a project. Can it?

Instead, here the person could easily use the verb ‘lend’. It means to contribute or add quality to. 

  • Also, the same sentence is unnecessarily long. It has so many ideas within it that it is easy to get confused about the author’s intent. The IELTS examiner may view such sentences as an attempt to show off your grammatical skills.

However, this is not the only sentence that is too long. The whole body of paragraph 2 of this letter is wordy.

  • The linking words ‘in addition to that…’ are used to add information about the same idea. But the author uses it at the beginning of the body paragraph 3. Since the subject matter in that paragraph is different from the previous one, its usage is incorrect. 
  • Worst of all the mistakes, the author doesn’t mention his or her name at the end of the letter. Such errors can cost a lot on IELTS Letter Writing.
