IELTS Letter to Manager about Office reception

You should spend about 20 minutes on the task.

There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Write a letter to your manager. In your letter,

  • Describe the complaints that have been made
  • Say why the reception area is important
  • Suggest how the reception area could be improved

You should write at least 150 words. You NEED NOT write any addresses.

Dear Mr Thompson, / Dear Tom,

Based on the complaints received recently from our customers, I am writing this letter to suggest some alterations to the reception area in the office.

Instruction 1

Many of the recent visitors have complained that they don’t have access to the water cooler. So, someone needs to fetch it for them, which is a waste of company resource. Also, the phone at the reception is not working, and as a result, visitors cannot contact our employees.

Instruction 2

The reception is the first point of contact; however, the potential customers cannot call anyone beyond it and so they must wait. Thus, it is observed that outsiders who were invited for a meeting were later for the event.

Instruction 3

To overcome these issues, I would suggest routine maintenance of the phone on the reception counter so that internal employees can be contacted with ease. Additionally, the office can buy a water cooler that can save our human resources.

All paragraphs are connected well; even the linking words are used to connect ideas at appropriate junctures.

The letter has a variety of words which match the overall tone of the letter. There is hardly any repetition of words.

Grammatical Range and Accuracy (GRA)

Variety of sentences are used to express the ideas very well. Also, the sentences are clear to understand.
